Job Description

Administration Assistant - Keyline

We are currently looking for an Administration Assistant to join the Keyline Central Administration Team in Swan Valley, Northampton


You will be joining an energetic, close knit team where you will provide an efficient and effective administrative service to the Keyline branch network and National Sales offices whilst continuing to deliver an excellent level of customer service with a positive can do attitude.


Your key responsibilities include:


  • Understanding our branch needs and liaising regularly with them to resolve queries, whilst maintaining a close relationship with the Branch Managers, keeping them informed on all such matters that may impact the branch.


  • To ensure the online document authorisation system is well controlled on a daily basis.


  • Proactively chase inter branch transfers to keep the outstanding queries to a minimum.

  • Correctly identify the cause of errors and resolve accordingly, whilst coaching branches and sharing best practice to limit/ avoid future errors.


  • Ensure all invoicing procedures and documentation are completed correctly and well as match and validate goods in receipts to invoices.


  • Chase and resolve direct POD’s


  • Chase resolution of supplier discrepancies, as well as follow up with discrepancy advice notes where necessary.


  • Receive and deal effectively and professionally with incoming and outbound calls, maintaining excellent customer service.


  • Maintain knowledge of products and materials, sizes and quantities in which they are sold, price movements as a result of price increase etc to reduce invoice errors.


  • Participate and drive your development through training and learning from others.
