What’s it like to be a Bid Coordinator?

Joining our family as a Bid Coordinator within Managed Services, you will play a crucial role in securing and maintaining our commercially sensitive public and private sector contracts. Working closely under the direction of the Head of Bids and Proposals, you will support all key activities required for successful, high-accuracy tender submissions that directly drive revenue for the business.

  • Bid Support Expert: You will work closely with the Bid Writers, and broader stakeholders to coordinate bid activities, manage dedicated public sector inboxes, create workbooks, and maintain pristine folder structures. To ensure that relevant tender/contract notifications are identified on a timely basis – both existing contracts and potential new opportunities - and that activities to complete submissions are accurate, compliant, and completed on time.

  • Tender Champion: You will monitor tender portals for new opportunities and updates, reading and understanding intricate client bid documentation, compliance criteria, deadlines, and submission requirements.

  • Communication Hub: You will set up tender calls detailing content requirements, and communicate effectively with a wide range of business stakeholders, including Regional Directors, Account Managers, Customer Operations Managers, and subject matter experts.

  • Process Guardian: You will take the initiative across multiple projects at once, ensuring best practice, high levels of productivity, and strict adherence to existing bid procedures, governance, and processes.

Do you have what it takes? 

We are looking for a proactive, highly organised individual who can self-manage, prioritise effectively, and work under their own initiative across multiple fast-paced projects to meet tight deadlines.

  • You have excellent communication skills, with the natural ability to engage, influence, and build relationships with teams at all levels of the business.

  • You have the ability to coordinate or administrate bids, tenders, or contract processes.

  • You possess excellent written and numerical skills, flawless English, and strong attention to detail to ensure complex bids are submitted accurately and professionally.

  • You have a positive, proactive attitude and a genuine willingness to learn and adapt within a highly regulated procurement environment.

  • The exposure to public sector/NHS procurement processes is desirable.

  • While not essential, an APMP certification, knowledge of the end-to-end bid process, familiarity with public procurement systems, or experience within the construction, R&M, or FM sectors would be a fantastic advantage.
