As a Senior Property Administrator, you will be a key member of a small but dedicated team responsible for managing the financial and administrative aspects of a diverse property portfolio. Your primary duties will include ensuring the timely and accurate payment of rents and other charges due under various lease agreements, as well as maintaining the integrity of the Property Database. This involves regularly updating lease records, verifying financial transactions, and ensuring that all data related to property holdings, tenant obligations, and lease terms is complete, accurate, and current. You will work closely with internal departments such as finance and legal, as well as external stakeholders including landlords, tenants, and managing agents, to resolve discrepancies, clarify lease terms, and support compliance with contractual obligations. The role demands strong attention to detail, a solid understanding of property management processes, and the ability to manage multiple priorities in a fast-paced environment. As a senior member of the team, you may also provide guidance to junior colleagues and contribute to process improvements and system enhancements.
Principal Accountabilities
Processing of rental invoices and managing queries from landlords and their agents. The candidate will need to be able to demonstrate confidence in their ability to challenge landlords when required.
Liaising with internal stakeholders (finance, property and in-house lawyers) and external stakeholders (landlords, agents and lawyers) for updates on information to ensure that payments are made on time. The candidate will need to be able to build relationships with both internal and external stakeholders.
Processing of rents for payment through the Oracle and Bacs system on a weekly basis. All rental payments are contractual and must be made on time regardless of whether an invoice is received or not. The candidate will need to be able to work to tight deadlines whilst remaining duly diligent.
Maintaining an up to date database of all properties held by the business. The candidate will need to demonstrate an ability to work accurately and methodically with excellent attention to detail.

Is this you?
We are looking for someone who is keen and enthusiastic who can pick things up quickly and be able to work on their own initiative with a minimum of supervision. The candidate will need good IT skills (Excel/Google Doc/Sheets preferred), an ability to use numerical detail and must be able to demonstrate high levels of accuracy and attention to detail. Good communication skills and a positive attitude are essential and an understanding of leases and other property documents is also required. Experience in a similar administration role using Tramps or o6ix or a similar accounts system would be extremely useful.
